Our client, an independent & dedicated law firm is seeking an experienced Legal & Billing Assistant. You will play a crucial role in the firm's continious expansion and work closely with the lawyers working under different law regulations. 

Your Responsibilities :

  • Manage front-desk operations, including reception duties, handling telephone calls, managing correspondence, and overseeing meeting room bookings.

  • Provide comprehensive administrative support, including document creation, typing, formatting, copying, filing, and archiving.

  • Arrange and coordinate meetings and business travel arrangements.

  • Oversee office management tasks and liaise with suppliers to ensure smooth operations (such as managing office supplies, maintaining office cleanliness and functionality, addressing IT issues, and reporting repairs).

  • Maintain and update databases and contact lists using Excel and Outlook.

  • Assist in the invoicing process using the Avonca system, including preparing and sending invoices, recording time, disbursements, and expenses.

  • Contribute to the Anti-Money Laundering (AML) and Know Your Customer (KYC) processes.

  • Support marketing activities, including organizing events and conferences, managing mailings, preparing marketing materials, and assisting with digital communications.

  • Collaborate effectively within a team environment and closely coordinate with other team members.

Requirements : 

  • At least 3 years experience in a law firm.

  • You hold a bachelor's degree in a relevant field. 

  • You have a proficiency in both written and spoken French and English. Any other languages is an asset.

  • You master the tools of Microsoft Office.

  • You exhibit strong organizational skills, attention to detail, reliability, and proactive initiative, along with demonstrating adaptability and resilience in challenging situations.
