  1. Respond proactively to administrative questions from one or more of your clients

  2. Manage board meetings (Prepare minutes, convene and attend to the meeting)

  3. Be proactive in your communcation with client contacts, auditors, lawyers, and investors

  4. Assist clients with secretarial matters

  5. Ensuring that all administrative tasks are carried out for Luxembourg regulated entities 

 That means: 

  • Handling client and investor enquiries

  • Maintain fund files and registers

  • Process capital calls and distributions

  • Distribute and prepare client reports and investor statements

  • Manage document storage and workflows using the company's operational tools. 

  • Supervise payment processing and its administrative aspects

  • Ensure compliance with AML procedures and perform due diligence 

 

You would also be responsible to:

  1. Ensure compliance with company procedures and policies

  2. Supervise transactions and new products by assisting clients and the Private Equity team

  3. Be active in different meetings being solution oriented

  4. Adopt best operational practices in order to implement them with the rest of the operational team

  5. Participate in the coaching of junior fund administrators

  6. Work on various projects related to the position

You should also:

  • Have a proven experience of performing the above tasks

  • Have skills in terms of stakeholder management.

  • Have experience in operational and administrative monitoring of procedures

  • Have great organizational skills

  • Be a real team player 

  • Know how to work with the office suite

  • Have an understanding of investment fund frameworks and corporate law
